TA MISSION

Sous la supervision du/de la directeur.trice des services de tourne, le.la coordonnateur.trice est responsable de la coordination des ressources humaines pour les employs en tourne, de la logistique et des activits de soutien. Ils.elles travaillent en troite collaboration avec les autres membres de la tourne, les dpartements du sige social international (SSI) et les fournisseurs externes pour assurer des services de qualit et des oprations de tourne efficaces.

Ressources humaines

- Organiser et suivre les activits lies l'immigration, selon les directives du conseiller principal en immigration;

- Organiser et suivre les activits relies aux questions de scurit sociale, selon les directives du SSI;

- Administrer tous les travaux de suivi concernant l'indemnisation des accidents du travail;

- Assurer la liaison avec les employs de la tourne et les artistes, le fournisseur d'assurances collectives et le SSI pour toutes les questions relatives aux assurances collectives;

- Promouvoir et soutenir l'utilisation du Programme d'aide aux employs (PAE) et des autres services de ressources humaines en place;

- Sur la base de la liste des prestataires mdicaux privilgis, visiter les cliniques mdicales et les spcialistes dans chaque ville selon les besoins ;

- Soutenir les dpartements de tourne et administrer le programme de vtements de travail du Cirque, la politique sur les vtements de travail et le programme de reconnaissance des annes de service ;

- En collaboration avec le directeur des services de tourne, soutenir les nouveaux employs et artistes et les orienter.

Transport et hbergement

- Soutenir le.la directeur.trice des services de tourne concernant les procdures et les activits de voyage et d'hbergement, au besoin ;

- Rserver l'hbergement pour le personnel de tourne selon les directives fournies par le.la directeur.trice des services de tourne et le.la directeur.trice technique;

- Analyser les besoins en transport du personnel rgulier en tourne et des Fly-Ins embauchs pour les transferts;

- Organiser les dplacements d'une ville l'autre, les fourgonnettes bagages/de bureau et les vols pour le personnel ;

- Prparer la liste de chambres en respectant les politiques de tourne et l'anciennet des employs;

- Produire, communiquer et suivre les horaires de transport ;

- Coordonner la rservation des billets d'avion en collaboration avec l'agence de voyages ;

- Grer les problmes ponctuels d'hbergement et de voyage ;

- Coordonner et communiquer les informations requises pour tous les transferts de personnel et congs annuels;

- Assurer le respect des politiques de voyage et d'hbergement de l'organisation en tourne;

- Produire un carnet de visite pour le personnel et la documentation spcifique demande par le.la directeur.trice des services de tourne (par exemple, un carnet de visite Fly-In).

Gnral

- Remplir les sections pertinentes des rapports de villes et de tout autre rapport de suivi ;

- Effectuer des tches administratives gnrales telles que les rapports ponctuels, le classement, la photocopie, l'expdition, etc.;

- Participer activement l'tablissement d'un environnement de travail convivial, scuritaire et cratif;

- Soutenir les autres coordonnateurs.trices dans leurs tches et les remplacer ponctuellement l'occasion ;

- Participer activement aux oprations de montage et de dmontage et assister les collgues dans leurs responsabilits de transfert.

TON EXPERTISE UNIQUE

- L'exprience et les connaissances en ressources humaines sont essentiels;

- Diplme en Ressources Humaines, Tourisme, Gestion de Production ou Administration ; un atout;

- Deux quatre ans d'exprience gnrale dans un environnement de tourne;

- Exprience en gestion d'invalidit, un atout;

- Bonnes comptences interpersonnelles et sensibilit interculturelles ;

- Solides comptences organisationnelles et multitches;

- Exprience en gestion de transport et d'hbergement pour de grands groupes, un atout;

- Exprience de voyage, de travail et de vie l'tranger ;

- Connaissance des applications Microsoft dans un environnement Windows ;

- La matrise de l'anglais parl et crit est essentielle ; toute langue supplmentaire parle et/ou crite est un atout ;

- Disponibilit pour travailler en tourne temps plein et pour travailler dans des pays trangers;

- Permis de conduire valide.

YOUR MISSION

Under the supervision of the Tour Services Director, the Tour Services Coordinator is in charge of coordinating the human resources for employees on tour, logistics and support activities. They work in close collaboration with other tour members, International Headquarters (IHQ) departments and external suppliers in assuring quality services and efficient tour operations.

Human Resources

- Organize and follow up on activities related to immigration, as directed by the Senior Immigration Advisor;

- Organize and follow up on activities related to social security matters, as directed by IHQ;

- Administer all follow-up work about workers' compensation;

- Liaise with tour employees and artists, the group insurance provider and IHQ in all matters relating to group insurance;

- Promote and support the use of the Employee Assistance Program (EAP) and other Human Resources services in place;

- Based on the list of preferred medical providers, visit medical clinics and specialists in each city as required;

- Support tour departments and administer Cirque's work wear program, work clothing policy and years of service recognition program;

- Working with the Tour Services Director, support new employees and artists and provide them with orientation.

Transport and Lodging

- Support the Tour Services Director regarding travel and lodging procedures and activities as required;

- Book lodging for touring personnel according to directives provided by the Tour Services Director and Technical Director;

- Analyze transport needs for regular touring personnel and Fly-Ins hired for transfers;

- Arrange city-to-city travel, luggage/office vans and flights for staff;

- Prepare the rooming list in keeping with tour policies and employee seniority;

- Produce, communicate and monitor transport schedules;

- Coordinate the booking of airline tickets in collaboration with the travel agency;

- Manage ad hoc problems with accommodation and travel arrangements;

- Coordinate and communicate the information required for all staff transfers and annual vacation leave;

- Ensure compliance with the organization's travel and lodging policies on tour;

- Produce a tour book for staff and specific documentation requested by the Tour Services Director (e.g. Fly-In tour book).

General

- Complete relevant sections of city reports and any other follow-up reports;

- Carry out general administrative tasks such as ad hoc reporting, filing, photocopying, shipping, etc.;

- Actively participate in establishing a convivial, safe and creative work environment;

- Support the other coordinator in their tasks and occasionally replace them on occasion;

- Actively participate in set-up and tear-down operations and assist colleagues in their transfer responsibilities.

YOUR UNIQUE EXPERTISE

- Human Resources experience and knowledge is mandatory;

- Degree in Human Resources in Tourism, Production Management, Administration; a bachelor's degree, an asset;

- Two to four years' general experience in a touring environment;

- Experience with disability management, an asset;

- Good people skills and cross-cultural awareness and sensitivity;

- Strong organizational and multitasking skills;

- Experience managing transport and lodging for large groups, an asset;

- Experience travelling, working and living abroad;

- Knowledge of Microsoft applications in a Windows environment;

- Fluency in spoken and written English is essential; any additional language spoken and/or written is an asset;

- Availability to tour full time and to work in foreign countries;

- Valid driver's license.
